Define the named place

DAP is incomplete without a precise named place. A postcode alone helps a carrier calculate distance, but the quotation should identify the delivery address or agreed terminal and any access conditions. A city-level request can hide meaningful differences between a commercial dock, a residential address and a site that needs an appointment or liftgate.

State the receiving hours, vehicle restrictions, floor or unloading constraints and a local contact. Under standard DAP allocation, the buyer is responsible for unloading unless the parties agree otherwise. Writing the handoff point prevents the phrase “door delivery” from carrying several different meanings.

Supply final packed data

Freight is calculated from the shipment, not only the product. Provide carton quantity, actual packed dimensions and gross weight for every carton type. Pallet dimensions and weight are needed when the shipment is palletized. The carrier may price by chargeable weight, so a small dimensional change can alter the result.

This is why conflicting catalogue and quotation-sheet carton data must be resolved before a delivery number is treated as firm. Use a final packing list, packed sample or supplier-confirmed carton record. Include the product description, quantity and declared value needed for the carrier’s review, without confusing an internal product cost with the customs value.

Identify batteries and controlled contents

Portable coffee equipment and grinders may contain lithium batteries. Tell the forwarder the battery configuration and available transport documents before selecting a service. A route that accepts ordinary electrical equipment may apply different rules, surcharges or packaging requirements to battery goods.

Ask the supplier to confirm the documents against the exact product and battery, not merely a related model. The current carrier quotation should record the accepted service basis and any document assumptions.

Separate carriage from import costs

Under DAP, the seller normally arranges carriage to the named place. The buyer normally handles import clearance and pays import duties and taxes. That means a DAP quotation is not automatically a landed-cost quotation.

Destination terminal, handling, appointment, remote-area or brokerage-related charges require careful reading. The offer should state which carrier charges are included and which can be billed to the receiver. Import duties and destination charges should not be bundled into a broad promise: duties are normally buyer-paid, and any destination charge is included only when the current carrier quotation and commercial offer explicitly include it.

Buyers should ask a local broker or qualified adviser about classification, import restrictions and tax treatment. Product descriptions, HS-code suggestions and certificates from a supplier are inputs for review, not a substitute for the importer’s decision.

Keep the quotation current

Carrier rates, fuel adjustments, capacity and route acceptance can change. Put a validity period on the quotation and reconfirm it if carton data, quantity, address or ship date changes. If the order is still at sample stage, label the freight figure as an indication based on stated assumptions.

The final commercial offer should repeat the Incoterm, named place, shipment data, included charges, exclusions and validity date. This gives both sides one document to compare with the packing list when the goods are ready.

Buyer checklist

  • Provide the full destination address and postcode.
  • Describe receiving access, appointment and unloading conditions.
  • Confirm carton count, packed dimensions and gross weight.
  • Add pallet data when applicable.
  • Identify batteries or other transport-controlled contents.
  • Share the exact product description and quantity.
  • Ask which carriage and destination charges are included.
  • Record that import clearance, duties and taxes are normally buyer responsibilities under DAP.
  • Confirm the quotation validity period and carrier assumptions.
  • Requote after any material packing, quantity, route or address change.

The most useful DAP quotation is not the fastest number. It is the one whose shipment data, named place and responsibility boundaries can be checked before dispatch.
